Board printouts/documentation


What information; IFS printouts, etc does your county provide to the County Board for their approval of expenses?
Do you provide client names and description or just a summary of program expenses?

Here in Itasca County all we provide the county board with are the warrant registers from IFS. We provide the vendor #, vendor name, description, chart of accounts, and invoice dates. No client names. If a commissioner wants more details they request it from us.

At Wabasha County we give our Board the Audit list for Board report from IFS. It provides them with the vendor #, account #, amount, warrant description, service dates, invoice #, and account/formula description. We try not to have full names on our invoice # or warrant descriptions. If they would like more information they will call.

In Kandiyohi County we provide them with the Warrant Register but I go through and remove most vendor names because it includes foster parents, CEI recipients, NEMT recipients, etc. I put a line of XXXXXX in place of the names and I remove their addresses. (I had to get AdobePro to be able to do this) I would also be interested in hearing what other counties do. I would like a 'less manual' process!

In Watonwan County we print off the audit list without the detailed information, which would be the client name. We print off a detailed list with the client name for the director and supervisors in case anyone should have any questions in regards to the payments. Other than the client names, they see everything else on their reports.

We provide the board with the warrant register for administrative payments and if there is a client as a vendor, their name is stricken as these registers are posted for the public. The board does not see the registers for the SSIS payments or weekly medical transportation payments because it is almost all client data.

At Sherburne, we provide the Warrant for Publication report that lists total expenses by vendor name for our administrative payments. We don't provide anything for the SSIS check runs or the MA/client related check runs.
