Collections Question - Programs


Otter Tail County is currently using CCS on the AS400 for our collection system.  There is a push to move away from the AS400 and migrate to web-based formats.

I am wondering what programs counties are using for a collection system, what do you like/dislike about what you are using.

We had QuickBooks but we only had 1 license so it was not very user friendly when I was on vacation. Now my supervisor can run reports and use it when I am out.

I use QuickBooks. I agree with Jessie, we only have 1 license as well so if I am on vacation, I have to give my computer log in information to someone in the office so they are able to use it if necessary. Otherwise as far as being user friendly- it is the only program I have used so to me it is user friendly.
The pros are that you can customize your reports and run reports on just about anything. It is a very user friendly system for doing invoices/statement charges. It allows you to make notes in each of the client accounts (i.e. when you started conciliation court or if the client calls to discuss a repayment plan with you). You are able to keep client information at your finger tips for trying to get ahold of them. You can have their name, address, phone number, DOB, SS# all by just opening the client up. You are able to have more than one "company" so I keep my collection clients under one company and then have my social welfare clients also on the system on another company. If you are looking at printing checks from it, this is also a very easy thing to do.
The cons are after you send your initial invoice, your statements do not show what the charge is for it just says "balance carried from previous statement". This is difficult for our front staff when people make a payment and they have to write a receipt as they have no clue what the client is paying for.
If you go with QuickBooks, I would say to try to see if there is a class to go to in order to learn the system so you are using it to its fullest.

Not only do we use it for collection activities (case management & statements) we also use it as an accounts receivable system for all health and human services payments.
